Privacy Policy
Last updated: June 16, 2026
1. Introduction
Welcome to bestmate ("we," "our," or "us"). We are committed to protecting your privacy and personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.
2. Information We Collect
We collect information that you provide directly to us, including:
- Account information (email address, name)
- Content you upload to train your digital twin
- Communications and queries made through the service
- Usage data and analytics
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Train and operate your personal digital twin
- Process transactions and send related information
- Send technical notices, updates, and support messages
- Respond to your comments and questions
- Protect against fraudulent or illegal activity
4. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Your data is encrypted both in transit and at rest. Each user's data is isolated in a multi-tenant architecture ensuring complete separation between accounts.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services. You may request deletion of your account and associated data at any time by contacting us.
6. Third-Party Services
We may use third-party services that collect, monitor, and analyze data to improve our service. These third parties have their own privacy policies addressing how they use such information.
7. Google User Data and Limited Use
When you connect a Google account, Bestmate requests read access to your Gmail and Google Calendar, and permission to send email on your behalf. We use this access only to provide you the app's features: prioritizing the email that needs your attention, drafting replies in your voice (which you review and approve before anything is sent), and surfacing upcoming meetings for context. Calendar access is read-only, and email is only ever sent after you explicitly approve a specific draft.
Bestmate's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we do not use your Gmail or Calendar data to train, fine-tune, or develop generalized AI or machine-learning models; we do not sell this data; we do not use it for advertising; and we do not transfer it to others except as needed to provide the service, for security or legal reasons, or with your consent.
Your Google data is stored in your own private, tenant-isolated knowledge base and used only to serve your signed-in account. You can disconnect a Google account and delete your ingested data at any time from within the app, and revoking Bestmate's access in your Google Account permissions immediately stops further access.
8. Your Rights
You have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Object to processing of your data
- Export your data in a portable format
